Focusing on the health and safety of our customers and photographers, we have outlined the following procedures for Composite Photoshoots moving forward.

Maintain Proper Social Distance

Chapters must limit photoshoot room occupancy, allowing 1 to 10 members depending on room size and photographer’s discretion. During the scheduling process, we calculate that our photographers can photograph ~25 members per 1 hour. This roughly equates to ~6 members per 15 minutes, which maintains fewer than 10 people gathering in the same room at any given moment.

If additional members arrive, they must wait outside of the photoshoot room. We are asking that all chapters use our provided sign-up sheet (available for download below) or their own sign-up sheet to limit the number of people at the location at any given time and to reduce waiting time. Rooms should be cleaned and sanitized by chapter members prior to the photographer’s arrival.

Protective Wear

Our photographers will wear masks throughout the duration of the photoshoot. All chapter members are required to wear masks as they’re waiting to have their photos taken. Members may only remove their masks once it’s their turn to be photographed. After being photographed members will put their mask back on. We encourage students to wear ear-looping masks that are not too tight so their cheeks and nose are indent-free for their photos!

Increased Sanitation and Reduced Personal Contact

Each member must bring their own pen to the photo session. Upon arrival, members must apply hand sanitizer when entering the room, then take a composite photo form. Members will hold on to these items throughout the photo session.

During the photo session our photographer will take several photos of each member facing different directions. The final photo taken will be the member’s “chosen photo” placed on the composite. This eliminates the need for members to view their photos, thus reducing contact during the photo selection process.

Each member will fill out the photo forms in its entirety. After being photographed, the photographer will verbally communicate the information needed in the “photographer use only” section (range numbers). The photographer will then visually confirm that all “photographer use only” information is accurate before moving on to the next member. Then each member will drop their composite photo form in the completed pile.

  • A limited number of pens may be provided, as a last resort for members who can not provide their own.
  • Out of an abundance of caution, photographers may take breaks every 30 minutes throughout the photoshoot to wash their hands.

University Policies

Please keep your photographer aware of any changing policies on campus as they may pertain to your composite photo shoot. Safety is the top priority for both our staff and your chapter members. We understand your university may not have released all of it’s guidelines, and/or that they may change. Please contact your Photographer a minimum of week before your photoshoot date in the event that campus has pertinent policies in place that must be adhered to.

Jackets And Drapes

GreekYearbook will not provide drapes or jackets for communal use during photo shoots. Fraternity members must bring their own jackets and we ask that they not be shared among other members, if possible. Additionally, we recommend that sorority members opt to wear black shirts, as opposed to traditional wrap drapes. GYB has, however, made a limited number of traditional wrap drapes available for purchase (in sets of 2), which GreekYearbook will ship directly to the address provided prior to the photo shoot.

Client Wellness

Members should not attend their photoshoot if they are feeling sick. They should also not attend if they have been in close physical contact with anyone diagnosed with, or exhibiting symptoms of COVID-19 within the past 14 days, or if they have been asked to quarantine due to potential exposure. If members are unable to attend their photoshoot due to health concerns or illness, GreekYearbook will waive fees for the reuse or submission of their photos.

Photographer Wellness

If your photographer is exhibiting symptoms of COVID-19, sickness of any kind, awaiting COVID-19 test results, or asked to quarantine, GreekYearbook will remove that photographer and make an effort to place a new photographer for your photoshoot. Photographers will not return to work for GreekYearbook for 14 days, and until symptoms disappear, or until they have authorized medical approval.
